Administrator – Business Team

We are looking for an enthusiastic, self-motivated Administrator who wants to work in an exciting specialist service within a creative environment.

Salary:
£24,150 to £29,400 (pro-rata for part time hours) includes HCAS
12 months’ fixed term contract with consideration for permanent contract at end of FTC

Purpose

To proactively support the Business Operations Lead: HR & H&S and the business team.

This encompasses not only the general day to day administrative tasks but the ability to deliver an efficient and effective approach to all administrative tasks and support the needs of the wider clinical team.

The post demands strong interpersonal skills and an ability to think laterally to ensure priorities are met.

Outcomes

Provide effective administrative support to ensure the smooth execution of business processes including, but not limited to:-
  • HR support – monitoring annual and other leave requests, new staff induction programmes and other ad hoc duties as required
  • In-house meeting room bookings
  • Monitor and maintain in-house facilities’ requests
  • Assist in maintaining organisation policies & procedures index and library
  • Monitor and manage generic email inbox and forward as appropriate ensuring timely responses by clinical team
  • Monitor and maintain car parking permits,Transport for London account and hotel booking account
  • Managing orders for stationery and kitchen supplies
  • Maintain stock of uniform for clinical staff
  • Provide cross-team support, e.g. reception duties, copying and scanning, customer support for Accelerate’s dressings supply service – these duties include answering phone calls and emails, and resolving customer queries
  • Assist in organising social events such as team lunches and staff days, refreshments for meetings, ordering gifts etc.

  • An ability to work unsupervised, using initiative to recognise time-sensitive needs to complete tasks.
  • An awareness of data protection and the privacy of identifiable data, reflected in working practice.
  • Positive and flexible work attitude.

  • Excellent organisational and planning
  • Good communication skills – written and verbal
  • Work management and ability to prioritise
  • Teamwork and problem-solving skills, initiative to find solutions
  • Excellent IT – MS Office, MS Teams, MS Excel, Outlook calendar and email, internet, data collection.
  • Excellent numeracy and literacy
  • Ability to identify issues that require escalation to Senior Managers.
